Participation conditions


Eligibility Criteria for the Meet and Code Grant

Charitable non-profit organizations from the following countries are eligible to apply for the Meet and Code grant: Austria, France, Germany, Italy, Poland, Romania, Spain, and the United Kingdom. All submitted digital skills and coding event ideas should take place within the timeframe of July 1, 2025 till October 31, 2025, and be aligned with EU Code Week. The events should address and include children and youth from underserved and underrepresented groups and must be free of charge for participants.

Who is Behind Meet and Code?

The Meet and Code initiative is organized by TechSoup Europe together with the respective country partners from the TechSoup Europe network. The main donor partner is Amazon, supporting the initiative through Amazon Future Engineer by providing financial support and expertise. Colt is a supporting donor partner, contributing additional resources and employee engagement to help bring coding opportunities to more young people across Europe. The TechSoup Europe partners are responsible for coordinating the initiative and selecting the event applications to be supported in their respective countries. Meet and Code was originally developed by Haus des Stiftens, SAP and TechSoup Europe.

Validating Applicant Organizations

Organizations interested in applying for a Meet and Code grant must first register with Meet and Code and undergo validation of their status as a charitable non-profit organization. This process is performed by the TechSoup Europe network partner in the applicant organization's country.

Authorized representatives of the organization are required to provide details of their organization with a comprehensive description of their event idea and valid contact information. More than one event idea can be submitted as long as the projects are significantly different from one another.

Idea Submission Window

Organizations may submit their event ideas between June 10, 2025 and September 30, 2025 inclusive. To ensure evaluation by the local partner, submissions must be complete with all supporting documents provided and submitted by the close of registration.

Evaluating an Event Idea

Each event idea will be evaluated by the respective country partner. Following a four-week period, the organization's representative will be notified via email stating whether the submitted idea has been approved for funding or not.

If an idea is rejected, the local partner can, up on the non-profit's request, share the reason for rejection with the person responsible. The organization may re-submit the idea once it has been revised. However, if it is rejected again, the idea can not be submitted further.

By submitting an idea the applicant agrees that each approved and sponsored event idea will be automatically published on the websites www.meet-and-code.org and www.codeweek.eu, accessible for all users.

Should the publication result in violations of the applicant's rights, in particular copyrights, trademark rights or other industrial property rights, the applicant shall be solely responsible for pursuing legal claims.

Period for Performing the Funded Events

The funded event must take place between July 1, 2025 and October 31, 2025.

Amount of the Meet and Code Grant

Every approved event will receive funding of 500 euros as start-up support. TechSoup Foundation reserves the right to increase or reduce the amount of funding in individual cases.

Funding Criteria for Selecting Submitted Project Ideas

The following basic criteria apply to event ideas:

  1. The submitted event idea should aim to inspire and introduce young people to the world of technology and coding, focusing on the theme of digital skills (coding, robotics, IoT, AI etc.).
  2. The event must take place between July 1, 2025 and October 31, 2025.
  3. The target audiences are children and youth between 8 and 24 years old.
  4. Each event must cater to a minimum of 20 children and young people. The events should ideally be focused on and include children and youth with underserved and underrepresented (UU) backgrounds*.
  5. Participation in the event must be free of charge.
  6. The event must be designed to last a minimum duration of 240 minutes. This timeframe can be achieved in one continuous session or divided into multiple sessions. However, if the event is split into several sessions, the same group of participants must attend all of them - different groups for each session are not allowed. In other words, each participant must be engaged in a total of 240 minutes of learning.
  7. To apply for a grant, charitable organizations must submit their ideas via their country Meet and Code Website.

  8. The events must be initiated, managed, and run by the submitting non-profit organization itself. The submitting non-profit organization is responsible and liable for everything that occurs during the planning, organization, running, and follow-up of the project.
  9. The funds are only paid out to charitable organizations able to evidence their non-profit status. Evidence must be provided during the validation process performed by the TechSoup Europe network partner in the applicant organization's country.
  10. Events can be held virtually, partly virtual, or on-site.

*Underserved and underrepresented groups mean, among other things people with migration and refugee background, from low-income households/disadvantaged economic backgrounds, from socially deprived neighbourhoods, with no access to own IT device, ethnic minorities, and children and youth with disabilities.

Funding must only be used for the submitted project and charitable purposes such as:

  1. Trainer/s for the workshop
  2. A license for online teaching tools or costs for premises
  3. Learning materials for participants including curation and shipping, e.g. workings books or hardware
  4. Communication to reach potential participants, e.g. flyers, posters, and/or online marketing
  5. Professional external support to enable an online event, e.g. technical support.
  6. Rent for space needed because of e.g. technical infrastructure

TechSoup Foundation or, if necessary, its partner in the TechSoup Europe network retains sole discretion over the funding allocation once the organization meets the selection criteria.

There is no automatic entitlement to reasons for rejection, nor is there a legal entitlement for the applicant to receive a grant. Furthermore, meeting the funding guidelines does not obligate TechSoup Foundation or its partners to provide funding.

Exclusion Criteria

The following event ideas are excluded from funding:

  • Events not developed and implemented in one of the participating countries
  • Political or religious initiatives
  • Projects benefiting only individuals
  • Projects not related to Meet and Code

Duty to Report and other Duties

  1. About Funded Events

    Each funded non-profit organization is required to complete a reporting survey, consisting of two questionnaires - one to be filled out before and one after the event timeframe. Regardless of the number of events conducted, only one survey per organization is necessary. The survey form will be sent to the email address of the contact person of the granted event once it has been approved.

    The survey must include the following minimum information:

    • Name of the organization
    • Event title
    • Event location
    • Date of event
    • Nature of the event
    • Number and gender of participants
    • Feedback to the Meet and Code program

    In addition to the reporting survey, there is a participant survey for the attendees of the event. The funded non-profit organization is encouraged to conduct this survey with the participants at the beginning and end of the event. This survey is voluntary.

    When uploading the event idea to the website www.meet-and-code.org and providing information materials, such as pictures, videos, or names, organizations are required to adhere to the applicable laws and to indemnify TechSoup Foundation and its partners from all claims of third parties, such as copyrights or trademark infringements.

    The organization shall indemnify and hold harmless the TechSoup Foundation and its partners from and against any and all claims, liabilities, damages, or expenses arising from third-party rights infringements, including unauthorized use of intellectual property or violations of personal data rights.

    Furthermore, where images or other personal data of individuals—especially minors—are involved, the organization must obtain and retain valid, documented consent prior to submission, in accordance with relevant legal requirements (e.g., written consent from a parent or legal guardian in the case of minors).

    If TechSoup Foundation becomes aware of any potential infringement of third-party rights, it shall notify the organization without undue delay and request immediate removal or deletion of the infringing content. If the organization fails to act upon the request within a reasonable timeframe, TechSoup Foundation reserves the right to remove or disable access to the content. Any liability for damages resulting from such infringement shall rest solely and exclusively with the organization that provided the content.

  2. About Using Financial Resources and Donation Confirmation

    Funded organizations may or may not be required to email a specific form to the respective country partner of the TechSoup Europe network confirming their donation.

  3. Documentation Deadline

    Donation confirmations must be provided by the funded non-profit organization within 14 days of the event completion. The reporting survey must be completed by the funded non-profit organizations within 48 hours after the event has ended.

Public Communication

The project partners are entitled to fully use the afore-mentioned reports, survey results, provided information materials as well as details on participants and winners of the Awards, along with associated event ideas, for their own reporting purposes. By submitting the ideas and providing further information in the course of their participation, the applicant agrees to this.

To reinforce the Meet and Code initiative, we encourage organizations to use the Meet and Code logo in their public relations activities related to sponsored events. The correct usage of the logo is detailed in the style guide. The use of the logo must be documented by email to contact@meet-and-code.org

Responsibilities; Liability

Meet and Code takes place in alignment with the EU Code Week and aims to strengthen this Europe-wide initiative.

The non-profit organization submitting their event idea is responsible for running the project. The partners of the initiative are in no way responsible and hold no liability regarding the project or its implementation. They are also not liable for damages, losses, injuries or non-performance incurred by participants, third parties, or legal entities due to registration or project implementation. Additionally, partners are not liable for legal obligations arising from participation in or project performance linked to funding resources or not.

Partners are also not liable for damage to computers in connection with or due to participation or the downloading of material in connection with the Meet and Code initiative.

Cancelled Projects and Residual Funds

If a project could not proceed for any reason or if there are remaining residual funds after the project has been implemented, the applicant must promptly report this to TechSoup Foundation and may suggest similar projects that could be funded using the residual funds.

At TechSoup Foundation' discretion, any amount of residual funds must be either returned to TechSoup Foundation (or the respective TechSoup partner organization) or used within the current calendar year in accordance with all applicable rules and regulations for charitable projects similar to the submitted project (programming themes). In the latter case, the applicant agrees to ensure and bear liability that such residual funds may only be used for charitable purposes. In case of using the funds for a similar project, the applicant's obligation to report on the use of such financial resources without undue delay remains in place.
